Application criteria

Applications for the academic year 2024-2025 are possible from May 1st.

In order to apply for housing, you have to initialize the application exchange procedure in OASIS. Please read the information on this webpage first

If you have a letter of invitation for one semester or for a period less than four months, you have first priority for accommodation the Halls of Residence in Ghent.
If you have a letter of invitation for 10 months or a period longer than a semester, you have second priority for accommodation in the Halls of Residence in Ghent. However, due to the high demand for rooms for the first semester, we will only be able to consider you for a room in Bruges.

The Housing Office will be able to process your housing application once you have been accepted as an exchange student at Ghent University. You do not have to contact us, we will receive this information automatically.
You will receive a follow-up notification regarding your housing application within two weeks after your acceptance as an exchange student or the housing application, whichever came last. You do not have to initiate the follow-up, we will get back to you automatically.

In case you applied for a housing option that is not available to you, your housing application will be canceled, after which you can apply again for the correct accommodation.

If you are not eligible to stay in the University Halls of Residence, or if the available Halls are not your ‘cup of tea’ or if they are fully booked, you can look for a suitable living unit on the private rented market.

This accommodation is only available for students with a Letter of Invitation for one semester or a period of less than four months.

Please note there are no differences between these units or buildings (Groningen, Uppsala, Göttingen and Canterbury): they are all part of one complex and connected to each other with a walking bridge on the first floor.

    • Home Boudewijn (University Hospital, near Science campus "Sterre") and home Astrid (Science campus "Sterre", near University Hospital)

Terms and conditions

When you apply for a living unit in the University Halls of Residence, you agree to these terms:

Rental payment

  • Check out the rental fee for the correct academic year
  • The rent is due from the start till the end of the reserved period. The tenant is obliged to keep the living unit that was allocated for the duration of the tenancy agreement.
  • The costs for the consumption of water, electricity, and heating, provision of bed linen, cleaning of the common areas, repair services, and use of the internet are included in the monthly rent. The use of cookware such as pots and pans, and cutlery/crockery (only available in studios) is also included.
  • A monthly invoice will be sent to you by email, and the deposit (if applicable) will be charged on your first invoice. 
    Please note that there is no need to pay anything pre-arrival or upon your arrival.

Rental period

  • Only students with a letter of invitation for one semester or a period of less than four months can apply for accommodation in Ghent.
  • Check-in is not possible during weekends, except for weekends in February and September.

    Modifications and cancellations

    • In case you made a mistake or would like to change your application, please reply as soon as possible on the application letter you received.
      In case no living unit was assigned to your application, you can still cancel or change the application without costs.
    • If you cancel your application after a living unit has been assigned to you by the Housing Office (upon which you receive a confirmation email), an administrative fee of € 75.00 will be charged. 
      An exemption is granted to applicants who do not meet the eligibility requirements to be able to rent a living unit in the academic year for which they have submitted an application and informed the Housing Office of this situation in due time.

    • A ‘no-show’ within 7 days after the start of the agreement equals a cancellation unless the tenant notified the Housing Office of the late check-in. An administrative fee of €75,00 will be charged and in this case, no exemptions are possible.

    • From the start date of the tenancy agreement, the tenant may terminate the lease only if you terminate your studies or registration at Ghent University.
      The notice period consists of 1 month. The notice period of 1 month starts on the first day of the month following receipt of the email or letter.

    • All modifications and cancellations must be done in writing, stating the reason and including the necessary supporting documents.

    Only students with a letter of invitation for one semester or for a period less than four months will be considered for accommodation in the Halls of Residence in Ghent. Students with a letter of invitation for 10 months, or a period longer than a semester can only apply for accommodation in Bruges
