Sabbatical leave

Aim

The Faculty financially supports ZAP members who wish to take a sabbatical leave. This is a period in which you can focus solely on your research.

Who can apply?

All ZAP-members members with a minimum appointment of 80%.

Requirements

  • You have to apply before your departure date.
  • You must attempt to secure funding from FWO unless you do not meet their requirements. If you have received FWO funding, notify research.fbw@ugent.be, so we can cancel your application.
    If you were too late to apply at FWO, your application for faculty mobility funding won't be accepted as it is possible to apply at FWO without an official invitation by the host institution.
  • The sabbatical leave covers a minimum period of 3 months and a maximum of 6 months.
  • If the sabbatical leave ends up being shorter than the minimum 3 months, the committee’s approval is withdrawn, and the amount granted will not be paid.

Grant

  • A lump sum* for transport expenses:

Within Europe: 500 euro

Outside Europe: 1.000 euro

  • Sum* for accommodation: 1000 euro/month (= 30 days)
  • The day of departure and arrival are included in calculating the lump sum.
  •  The amount granted for accommodation expenses - will not be increased if the sabbatical leave is longer than applied.

*After approval for reimbursement, this lump sum is transferred to your budget holder. Your department will only reimburse the expenses actually made.

Educational replacement fee

  • The educational replacement fee is 5.000€/3 months up to a maximum of 10.000€/6 months.
  • The educational replacement fee is provided to the department.

Addendum for the years 2020-2024

Until 2024 a sabbatical application and allowance is possible for the period of 3-12 months. The allowance for educational replacements amounts to 2167€/month, divided into an allowance for teaching replacements of 1667€ and a guidance allowance of 500€ for guidance of thesis and doctoral students. The reimbursement of accommodation will amount to €2000/month. Other conditions set in the regulations remain applicable.

The substantial increase in funds granted may lead to the maximum amount of the fund being exceeded in case of multiple applications for a longer period of time during one calendar year. Therefore, in accordance with the existing regulations, there will only be one CWO call per calendar year and all files will be dealt with at one pre-announced meeting. If the combined amount of the applications exceeds the maximum amount of the fund, the CWO meeting will make a reasoned choice.

Documents to be submitted

The following documents have to be submitted in the application:

  • A copy of the parallel application to the FWO unless you do not meet the formal requirements for FWO funding.
  • An invitation letter with a declaration stating your stay’s start and end date and signed by the host institute.
  • A signed Endorsement by CKO
  • Department approval of replacement
