Registration fees

The conference fee includes the full conference program, lunch for three days (September 17, 18 and 19), coffee, tea and water breaks, social events, city map of Gent, conference bag and opening ceremony. All participants are expected to pay for their own board and lodging. The organizing committee will offer an overview of possible accommodation arrangements for all participants. Onsite registration is not possible.

Prices strongly differentiate between CESSMIR members and non-members. If you want to become a member of CESSMIR and enjoy reduced conference registration fee, you can do while registering for the conference. One year membership of CESSMIR is 100 euro.

With 'academic', we refer to all those related to a university or university college, including PhD-candidates. With 'non-academic', we refer to policy makers, practitioners, bachelor and master students. Please be aware that registration for the CESSMIR2018 Conference is complete when payment has been made through the appropriated channels.

Cancellation of registration has to be made in writing to . If a cancellation is received before August 1, 2018, reimbursement of the registration fee, minus €100, will be made. After this date, or if registrants fail to attend the conference for any reason whatsoever, no refund can be made.

CESSMIR2018 offers full and partial scholarships for participants. Please see underneath for more detailed information.

Full and partial scholarships

Conference participants are invited to apply for full and partial Scholarships funded by VLIR-UOS. The aim of a scholarship is to support conference participants who are unable to secure the funding required to cover the conference fee and/or the cost of coming and staying in Ghent, Belgium. The amount of scholarships that can be granted is very limited.

Participants can apply for full and partial Scholarships until April 15, 2018. After this date, applications will no longer be screened and scholarships cannot be granted anymore.

Full scholarship may imply (i) full fee waiver and/or (ii) covering of your travel costs and/or (iii) covering of the accommodation cost offered by the CESSMIR2018 organization. Partial scholarship may imply a partial or full fee waiver. Candidates who are granted a partial scholarship are expected to pay for their own board and lodging. Please be aware that we will follow the VLIR-UOS guidelines when granting scholarships. For more information concerning these guidelines, please visit the VLIR UOS website


Eligibility criteria

  1. Applicants must be a national and resident of one of the following countries at the time of application: Benin, Bolivia, Burkina Faso, Burundi, Cambodia, Cameroon, Cuba, DRCongo, Ecuador, Ethiopia, Guatemala, Guinea, Haiti, Indonesia, Kenya, Madagascar, Mali, Morocco, Mozambique, Nicaragua, Niger, Palestinian Territories, Peru, Philippines, Rwanda, Senegal, South, Suriname, Tanzania, Uganda, Vietnam and Zimbabwe.
  2. Applicants must have submitted an abstract. If the abstract is not accepted by the Scientific Committee, the scholarship cannot be granted.


Application procedure

Applications for full and partial scholarship must be made through the following form (click here). Please pay attention to your motivation letter, outlining why you apply for a full or partial scholarship.

Applicants will be notified by June 1, 2018 about the result of their application. If their application for scholarship is accepted, applicants must register for attending the conference before July 1, 2018 (Early Fee deadline), also if they are granted full fee waiver. If they fail to do so, the scholarship will be withdrawn.

For applicants who need a VISA for Belgium, all the information concerning visa applications for Belgium is available on the website of the Foreigners Department of the FPS Home Affairs, which is the competent Belgian authority for access to the territory, stay, residence and removal of foreigners in Belgium.
