What is a certified true copy

A certified true copy of a document is a copy taken of the original primary document by a qualified official who guarantees its authenticity as a true copy.

How do I obtain a certified true copy

If you require a certified true copy, you can go to the Registrar's Office with the original document. Copies must be made from the original document, for example your UGent diploma, certificate, etc. We can only certify documents issued by Ghent University.

If you are unable to come in person, you can send your diploma to the Registrar's Office. We recommend that you send this original document by registered mail. As soon as we have received your original document, we will make certified true copies and send all documents back to you by registered mail.

You can also authorise someone else to go to the Registrar's Office with your original document, a letter of authorisation and a copy of your identity card.

Documents not issued by Ghent University

  • A ‘certified’ copy is a copy made by an individual or institution authorised to do so, in this case, the academic institution or university that granted your transcripts/diploma/supplements. They stamp the copy, thereby attesting that it is a true copy of the original document. Please note that photocopies or digital versions of certified copies are not accepted by Ghent University. 
  • Usually the individual or institution who issued the said document, can also deliver a certified copy of the document.
