Special financial support CWO for doctoral courses and doctoral internships

Financial support CWO

Financial support up to 1500 euro is awarded when taking a doctoral course (summer school, doctoral school, tutorial or series of seminars) with an international character (for example, if the course is taught abroad or by international teachers), and this is in the following cases:

  • Either the doctoral course requires and active contribution from the doctoral student (an exam, a project or report evaluated by the organiser, a lecture or a powerpoint presentation). In this case, the doctoral course should consist of at least 18 contact hours, a proof of attendance confirming active participation is required as well as a report of at least 1 page (synthesis of the doctoral course of at least 100 words and relevance for the own doctoral research of at least 350 words);
  • or the doctoral course does not require active contribution. In this case, the doctoral course should consist of at least 24 contact hours, a proof of attendance is required, as well as a content-based scientific report of at least 4 pages (synthesis of the doctoral course in at least 300 words and relevance for the own doctoral research in at least 1500 words).

Next to taking such a doctoral course, lengthier international stays (doctoral internships) of at least 4 weeks with research perspectives also qualify for financial support up to 5000 euro. In this case, a report of at least 4 pages (at least 1800 words) is required.

The special financial support is limited to two activities per person and is not linked to being part of a doctoral training programme.  The content-based approval of FDOC, regardless of following the doctoral training programme, is required to keep decision criteria the same for everyone.

The mentioned amounts are valid for activities that took place as of the academic year 2007-2008. For activities that took place during the academic years 2005-2006 and 2006-2007, the maximum support for both doctoral courses and doctoral internships is 500 euro.

Application procedure

  1. If the applicant wishes so (in case of doubt), the FDOC can be asked beforehand to check whether a certain doctoral course or doctoral internship qualifies for funding. The applicant then provides the FDOC with the necessary information, for which standardized forms are available.
  • After taking a doctoral course, the applicant submits a file to the FDOC, consisting of:
    • Either a proof of active participation and a report of at least 1 page
    • Or a proof of attendance and a report of at least 4 pages
      After completing a doctoral internship, the applicant provides the FDOC with a report of at least 4 pages. Standard forms (in Dutch) are available for reporting. The supervisor is responsible for the approval of the content of the file.
  • After approval of the file by FDOC, the applicant supplies proof of expenses at the dean’s office. The financial modalities are:
    • Either the doctoral student is directly reimbursed by the dean’s office. In this case, the original proofs of expenses have to be presented at the dean’s office (no lump reimbursement)
    • Or the research department is reimbursed (provided that the doctoral student already has been reimbursed by the department itself). In this case, providing copies of the original proofs of expenses suffises (no lump reimbursements).
