Faculty Research Fund
New from January 1, 2023: incoming researchers must apply to the FWO before you can apply for an incoming stay
Through the Faculty Research Fund, faculty staff are entitled to funding to help them with their research.
General guidelines
- Applications must be submitted at least one week before the meeting of the CWO
- Applications can not be handled retroactively (i.e., the application can not relate to a period started before the meeting of the CWO)
- Please make sure that your file at flwresearch and in Biblio is always fully up-to-date
CWO-meeting dates
Meetings take place on campus (12:00-14:00), via MS-Teams (13:00-15:00) or via electronic consultation on the following dates:

AAP starting grant
Automatic and one-off financial assistance for all junior assistants, post-doctoral assistants, the faculty’s predoc and postdoc fellows subsidized by third parties, provided they do not have their own operating funds
- Amount: appointment percentage * EUR 3,000
- You can use this grant e.g. for translations, any publication costs, etc.

Travel grant
Financial assistance for predocs, postdocs and ZAP to allow them to participate in academic conferences abroad, brief research stays abroad or international workshops (max. 3 weeks)
- PREDOC: max. 2 times a year / POSTDOC: max. 2 times a year / ZAP: max. once a year
- Amount: travel costs, flat rate for lodgings, enrolment fee.
The flat rate per night is a maximum amount, intended to cover the costs of the overnight stay: please ask for a lower amount if sufficient. This leaves money for applications by your colleagues. - As a rule, you should first submit a corresponding application to the FWO (Research Foundation Flanders) (first FWO?). You send this FWO application along with your application to the CWO. The result of your FWO application must not yet be known in order to be able to submit your application to the CWO, but please send the FWO result as quickly as possible to the CWO.
Please note: the FWO website states that "in case you already receive a bench fee within a granted mandate or fellowship, you cannot apply for a travel grant for a conference, short study visit or participation in a workshop/course in one of the member states of the EEA or Switzerland or the United Kingdom". This only applies, however, to FWO PhD fellows and FWO postdoctoral fellows. In this case, FWO fellows can apply directly to the CWO if they make it sufficiently clear that their operational grant is insufficient. All others can (and must) apply to the FWO first (first FWO?).
Also PhD students who do not yet meet the FWO publication requirements can receive a travel grant on the Faculty Research Fund (max. 2 times) without first submitting an application to the FWO.
Note that you can already apply to the FWO without being sure that you will be accepted at the conference. "Being too late for the FWO" is thus never a valid reason for not applying to the FWO first. Applications to the FWO must be submitted no later than three months before your departure. - Doctoral students who wish to use this grant for attending a workshop should request the registration fee part via the Doctoral School

Travel grant for students
Financial assistance for students with high research potential to allow them to participate in academic conferences abroad, brief research stays abroad or international workshops (max. 3 weeks)
- The application is made by a Tenured Academic Staff member (ZAP)
- The student must be enrolled at the faculty with a diploma contract
- Max. 1 time per student
- Maximum amount: travel costs, fixed amount for the accommodation costs, registration fee.
All accommodation costs must be proven and amount to a maximum of the fixed daily allowance of Ghent University for that destination: enter a lower amount if sufficient. - Regulations (Art. 20-26)

Extended stay
Financial assistance for predocs, postdocs and ZAP for longer stays in a foreign research institution (min. 3 weeks)
- PREDOC: once / POSTDOC: once / ZAP: once every five years
- Amount: travel costs, flat rate for lodgings (up to EUR 1,500 per month, up to EUR 6,000 in total), family allowance (if applicable).

Intersectoral stay
Financial assistance for predocs, postdocs and ZAP for a longer stay in another, private or public institution outside academia (min. 3 weeks)
- PREDOC: once / POSTDOC: once / ZAP: once every five years
- Amount: travel costs, flat rate for lodgings (up to EUR 1,500 per month, up to EUR 6,000 in total), family allowance (if applicable).
The flat rate per night is a maximum amount, intended to cover the costs of the overnight stay: please ask for a lower amount if sufficient. This leaves money for applications by your colleagues. - As a rule, for a stay abroad, you should first submit a corresponding application to the FWO (Research Foundation Flanders) (first FWO?). You send this FWO application along with your application to the CWO. The result of your FWO application must not yet be known in order to be able to submit your application to the CWO, but please send the FWO result as quickly as possible to the CWO.

Incoming stay
Financial assistance for foreign researchers with a minimum of two years’ postdoctoral experience for an academic stay at the faculty (min. 1 month, max. 3 months), on the nomination of a member of the faculty
- As a rule incoming researchers must apply to the FWO before you can apply for an incoming stay for them
- Amount: EUR 1,700 per month (flat fee) / family allowance, if applicable
- Important: the visitor must have a valid visa

Sabbatical
Tenured Academic Staff (ZAP) members of the faculty can ask for a sabbatical. ZAP members are exempt of their other assignments for a period of 6 or 12 months to dedicate their time to academic research.

- It is no longer necessary/possible to first submit an application to the FWO (Research Foundation Flanders). Those who receive a sabbatical can request a top-up for research activities, scientific stays, etc. from the FWO.
Organisational grant
Financial assistance for the organisation of an academic conference or a meeting of an academic society, at the request of a member of the faculty
- Amount: EUR 500 per day (EUR 250 per half day)

Valorisation grant
Financial support for valorisation initiatives, based on the education and research expertise of the applicant(s)
- Amount: max. 2,500 euros (with an amount for communication purposes limited to 1,500 euros; catering costs are limited to 1,000 euros)
