De UGent gebruikt Zoom als virtual classroom tool tijdens academiejaar 2020-2021.

Zoom is available in:

  • Ufora courses that are linked to official course units of the AY 2020-2021
  • Ufora infosites

What is a basic profile?

All students must create a basic profile in Zoom.

  • free profile in Zoom
  • to link to your UGent account (via SSO)
  • needed to participate in virtual classrooms
  • needed to view recordings of these virtual classrooms within Ufora
  • possibility to schedule and host sessions:
    • with a maximum duration of 40 minutes for group sessions up to 100 participants
    • with a maximum duration of 24 hours for 1 on 1 sessions
    • no possibility of recording the session in the cloud

How to create a basic profile?

STEP 1: Zoom Desktop Client

Installation required

  1. Download the Zoom Client for Meetings from https://zoom.us/download
  2. Install the Zoom Client for Meetings on your computer
  3. Open the Zoom Client for Meetings software on your computer
  4. Select Sign in
  5. Select Sign in with SSO

  6. Please enter ugent-be as company domain (ugent-be.zoom.us)

  7. Select Continue
  8. Select the option Save permission
  9. Select Yes, I agree
  10. Click on Launch Zoom

Already installed?

  1. Open the Zoom Client for Meetings on your computer
  2. Select Switch account
  3. Select Sign in with SSO

  6. Select the option Save permission
  7. Select Yes, I agree
  8. Click on Launch Zoom

STEP 2: Zoom Web Client

  1. Go to https://ugent-be.zoom.us
  2. Select Sign in
  3. Sign in via CAS (UGent username and password)
  4. Select Yes, I agree
  5. Tap your initials or picture (in the top right corner) and check whether your profile is set to Basic

STEP 3: Zoom Mobile App

Steps 1 and 2 are absolutely necessary, but step 3 only applies if you want to use Zoom additionally on your tablet and smartphone.

  1. Download the Zoom mobile app from https://zoom.us/download
  2. Install the Zoom mobile app
  3. Open the Zoom mobile app
  4. Select SSO
  5. Submit ugent-be as company domain (ugent-be.zoom.us)
  6. Select Continue
  7. Sign in via CAS (UGent username and password)

Tips

General tips

For Zoom to work properly, we recommend:

  • Always log in Zoom via SSO
  • Preferably use an internet cable instead of a wireless (wifi) internet connection
  • Preferably use headphones with a microphone (to avoid disturbing ambient noise)
  • Update the Zoom Client for Meetings app regularly

  • Close other (memory-consuming) applications during the Zoom session
  • Use a recent device

Before the virtual classroom

  1. Start your PC at least 5 minutes before the lesson starts
  2. Go to the Calendar of the correct Ufora course
  3. Select the event and click on the "join url"

During the virtual classroom

  1. Make sure that the teacher's image remains visible at all times. This can be done by pinning the video via the 3 dots at the top right.

  2. Make sure that the teacher's video remains visible next to the presentation. To do so, click on "Side-by-side mode" under "View Options". Now you can adjust the size of the presentation and the video image by moving the middle bar.

  3. There are 2 ways to ask a question during the lesson. Via chat or by raising your hand virtually. You do the latter by clicking on "Raise hand" under "Participants". The teacher will then indicate when you can speak. Don't forget to turn on your microphone. Wait 2 seconds before asking your question. Speak calmly and clearly. Turn your microphone off again afterwards.
  4. Your teacher can also divide all participants into groups or breakout rooms (e.g. to discuss with some other students). In such a breakout room you have several possibilities: share your screen, chat and ask the teacher for help if there is a problem. You will receive a message when the breakout rooms end and you return to the main session.

After the virtual classroom

The instructors are asked to include all virtual classroom sessions as well (cf. education tip "Guidelines for Lecture Recordings in Academic Year 20-21").

Your instructor will communicate where the recording is in the Ufora course:

  • in the module Contents
  • in the tab "Cloud recordings" under Other tools > Zoom

If you cannot view the recordings, you are not logged into Zoom via SSO.
