Mobility Student

Non-EEA nationals who are enrolled as a student in a country of the European Union and will conduct a mobility at Ghent University via the Erasmus+, Erasmus Mundus or double degree program, can make use of a simplified application procedure, called ‘Kennisgeving Mobiliteit’. This will allow the student to legally reside in Belgium without a visa D, provided that they meet the requirements below at least one month before the start of their Mobility.

What are the requirements?

  • You are accepted at Ghent University as an Erasmus+ exchange student or as a mobility student in an Erasmus Mundus Joint Program or Double Degree program
  • You are enrolled as a student in another EU Higher Educational Institution
  • You hold a legal residence permit in another EU Member State (based on studies), valid for the entire period of your intended mobility program at UGent. 

If you don’t meet the requirements mentioned above, you must apply for a D-visa in order to come to Belgium.

How to submit your application?

Erasmus Mundus Joint Master students

  • UGent is your first EU member state university in your study program: you must apply for a D-visa in order to come to Belgium.
  • UGent is the 2nd/3rd/4th EU member state university in your study program: you must contact the coordinator of the Erasmus Mobility Joint programme to start the procedure ‘Kennisgeving Mobiliteit’.

Double degree students

  • UGent is your first EU member state university in your study program: you must apply for a D-visa in order to come to Belgium.
  • UGent is the 2nd/3rd/4th EU member state university in your study program: submit your complete application file via the online tool ‘Kennisgeving mobiliteit' at least 45 days before the start of the intended mobility. 

Erasmus+ exchange students

Which information and documents have to be submitted?

  • Valid passport or equivalent travel document
  • Residence permit issued by another EU Member State as a student - valid for the duration of the intended mobility at UGent
  • Letter of invitation (for exchange students) or letter of admission (for double degree students) from Ghent University
  • Proof of health insurance covering your stay in Belgium
  • Proof of sufficient means of subsistence for the duration of the stay in Belgium
  • Residence address in the EU Member State responsible for issuing the residence permit
  • Residence address in Belgium

What happens next?

The Immigration Office can object or agree to your notification procedure within 30 days after we have submitted it.
If your file is complete and substantive, the 'mobility notification' will be provided to the university, which then provides it to you, in order to apply for your legal residence in Belgium.

Registration at Migration Office

Upon arrival you will have to register at Migration Office in the Municipality of your city of residence.
When presenting this 'mobility notification', the standard form (attached to your letter of invitation), valid passport and valid EU residence permit, you can obtain the document ‘Annex 33 - mobility student’ from the local municipality of residence after your arrival in Belgium.
