Registration fees
The registration fee includes lunch and covers participation in all sessions and conference materials including the programme book. It also includes coffee breaks and the closing reception.

Cancellation / refund policy
If you want to cancel your registration, we kindly request you to send an e-mail to iscp@ugent.be. Applicable conditions are:
- Cancellation before 21 April 2025: 100% of the registration fee will be refunded - 20 euro to compensate for the administration and transaction costs
- Cancellation before 1 May 2025: 50% of the registration fee will be refunded - 20 euro to compensate for the administration and transaction costs
- For cancellations made on or after 1 May 2025, no refund will be made.
- If, for reasons beyond the control of the organizers, such as pandemics, epidemics and/or quarantine measurements, the conference or the arrangements, timetables, plans or other items relating directly or indirectly to the conference, is altered or cancelled, registration fees will NOT be refunded and the UGent shall NOT be held liable for any costs incurred by conference registration such as airfare or hotel, or any loss, damage, expenditure or inconvenience caused as a result of such alteration or cancellation.
- If, for reasons other than those beyond the control of the organizers, the conference or the arrangements, timetables, plans or other items relating directly or indirectly to the conference, is altered or cancelled, registration fees will, at the choice of the UGent:
- be refunded after deduction of all expenses incurred by the UGent related to the organization and/or cancelation and/or alteration of the conference
- will not be refunded, but will be converted into a credit when attending the altered conference or a subsequent other conference, organized by the UGent.
The UGent shall however not be held liable for any costs incurred by conference registration such as airfare or hotel, or any loss, damage, expenditure or inconvenience caused as a result of such alteration or cancellation.
Letter of invitation
Upon request the secretariat will send a letter of invitation to the presenting author who has submitted an abstract which has been accepted for oral or poster presentation. The letter is only meant to help the presenting author raise travel funds and/or obtain a visa and will only be sent after receiving full outstanding payment free from all international bank transfer charges.
Liability
The Organizing Committee and the Conference Management shall not be liable for any loss, damage, expenditure or inconvenience caused as a result the conference.
Insurance is the responsibility of the participants themselves. The UGent does not accept any liability or responsibility for illness/death, or injury to or financial loss by any person attending this symposium, whatever the cause.
UGent and Gent’s employees, agents, advisors and students are not liable for any indirect damages or losses, any loss of profits, loss of revenue, loss of data, loss of contracts or opportunity.
The subscriber will defend, indemnify and hold UGent and UGent’s employees, agents, advisors and students harmless from any claim of liability for any loss, damages or expenses including attorneys’ fees relating to or arising out of the attendance by the person registered by the subscriber of the symposium.
