Faculty mobility and sabbatical fund (cf. Executive Board of 23/12/2022)

The budget for this research fund is distributed among the faculties on the basis of a base amount and the number of researchers at the faculties (for part A: mobility fund) and on the basis of the number of professorial staff members at the faculties, from associate professor and with a minimum appointment rate of 80% (for part B: sabbatical fund).

In the faculty of Engineering and Architecture this research fund is distributed as follows:

A. Spending of resources through annual calls

  1. Participation in conferences/workshops/symposia abroad, with priority being given to young researchers affiliated with the faculty of Engineering and Architecture (predoctoral and postdoctoral researchers), regardless of their funding source.
Both online and physical conferences can be applied for. In case of an online conference the financial support is limited to the registration fee.

There are four calls annually [deadlines for submissions: February 1, May 1, August 1, and November 1].

The start date of the conferences/workshops/symposia must always fall after the deadline of the application round.
For conferences taking place in a specific calendar year, applications can be submitted to the call of November 1 of the previous calendar year, and to the calls of February 1, May 1 and August 1 of the same calendar year.

Application procedure: through Plato.

The evaluation criteria are:

  • active contribution (poster or oral presentation delivered by the beneficiary) at the conference/symposium/workshop is mandatory;
  • type of publication linked to the conference/symposium/workshop.

Priority is given to researchers affiliated with the faculty of Engineering and Architecture with limited operating resources, in particular to (postdoctoral) assistants.

In principle, the applicant may apply for financial support for multiple conferences/symposia/workshops per call, indicating an own priority order. The allocations are however limited to a maximum of 1 conference participation per applicant per calendar year. The financial support only becomes effective after proof of the active contribution has been provided.

Note that an application for financial support can already be submitted before the active contribution has been accepted; the acceptance message from the conference/symposium/workshop can later be uploaded into Plato as soon as it is available.

Reporting: is limited to submitting the expenses in SAP within the department no later than 1 month after the end of the conference, and requesting the reimbursement of the expenses booked in SAP by transfer of costs to the Dean's office (Muriel Vervaeke) no later than 2 months after the conference (Easter, summer and Christmas recesses not included).

  1. Long-term research stay at an academic institute in Belgium or abroad for a period of 1-12 months, with priority being given to young researchers (predoctoral and postdoctoral researchers and tenure track ZAP), regardless of their funding source.

There are two calls annually [deadlines for submissions: May 1, and November 1].

The start date of the research stay must always fall after the deadline of the application round.

For research stays abroad a researcher who meets the criteria to apply for an FWO travel grant must first submit an application for funding of the stay by the FWO.

The FWO application must be submitted on time. If an application is not accepted by the FWO for reasons of lateness, the application is also not eligible for financial support from the faculty mobility and sabbatical fund.

A long-term research stay abroad applied for by a professorial staff member must take place in a period for which there is no need for exemption from the applicant's teaching and service assignments. If there is such a need, a research sabbatical must be applied for.

The evaluation criteria are:

  • intrinsic scientific quality of the host institute;·
  • added value of the stay at the host institute for the applicant's research;·
  • quality of the research to be conducted.

  1. Stay of foreign researchers (incoming mobility, postdoctoral researchers), whose expertise has an added value for the receiving research group of Ghent University, for a period of 1 month up to 90 days.

The start date of the stay must always fall after the deadline of the application round.

The evaluation criteria are:

  • curriculum of the foreign researcher;
  • added value for Ghent University of the proposed research;
  • quality of the research to be conducted.

Reporting:

  • submission of the expenses in SAP within the department no later than 1 month after the research stay, and requesting the reimbursement of the expenses booked in SAP by transfer of costs to the Dean's office (Muriel Vervaeke) no later than 2 months after the research stay (Easter, summer and Christmas recesses not included);
  • submission of the scientific report, via email to cwo.ea@UGent.be, no later than 1 month after the research stay.
  1. Research sabbatical for professorial staff members, at home or abroad.

When submitting an application for a research sabbatical, financial support can also be requested from the faculty mobility and sabbatical fund. In that case, an FWO application must be submitted first and the FWO application form must be added to the application file.

  1. Financial support for predoctoral and postdoctoral researchers for a research stay at a non-academic institute (intersectoral mobility) for a period of 1-6 months, provided that the mobility can be justified.

There are two calls annually [deadlines for submissions: May 1, and November 1].

The start date of the research stay must always fall after the deadline of the application round.

The evaluation criteria are:

  • added value of the stay at the non-academic institute for the valorization of the applicant's scientific research;
  • scientific quality of the research to be conducted.

Application procedure: via email to cwo.ea@UGent.be with completed document. This document includes, among others, the following information:

  • description of the non-academic institute where the stay takes place;
  • description of the objective and expected results in relation to valorization of the research;
  • description of the research to be conducted;

Reporting:

  • submission of the expenses in SAP within the department no later than 1 month after the research stay, and requesting the reimbursement of the expenses booked in SAP by transfer of costs to the Dean's office (Muriel Vervaeke) no later than 2 months after the research stay (Easter, summer and Christmas recesses not included);
  • submission of the scientific report, with special attention for the description of the follow-up process for valorization, via email to cwo.ea@UGent.be, no later than 1 month after the research stay.

B. Spending of resources through a continuously open call

Financial support for predoctoral researchers for participation in a doctoral course (summer school, doctoral school, tutorial or a series of seminars) outside Ghent University and with an international character.

The start date of the doctoral course must always fall after the submission date of the application.

The doctoral course must include at least 15 contact hours.

The evaluation criteria are:

  • scientific quality of the doctoral course;
  • added value of participation in the doctoral course for the applicant’s doctoral research.

  • submission of report via email to cwo.ea@UGent.be with completed template, no later than 1 month after the end of the doctoral course.
