How to apply as an exchange student?

In order to come to Ghent University as an exchange student there should be a bilateral agreement between your home institution and Ghent University for your field of study. Only in some specific cases you will get admission as an exchange student without this agreement: e.g. when you conduct a part of your master thesis research at Ghent University, a traineeship etc.

Application deadline for Internships, traineeships, research and Blended Intensive Programmes (BIP) is 6 weeks prior to the start.

Nomination

Students should be nominated by their home university before the deadline mentioned above through this online nomination form. After receiving this nomination, Ghent University will inform the student on the application procedure and more practical information. Nominations submitted by students are not accepted.

The online nomination form opens February 16th, 2026 for Semester 1 and Year nominations. 
Nominations for Semester 2 will open late August 2026.

How to apply with Digital Learning Agreement - only for Erasmus+ Study Exchange (courses) and Erasmus BIPs

When you come to Ghent University as an Erasmus+ studies exchange student, your Digital Learning Agreement is handled through the Erasmus Without Paper network. This means that everything is exchanged digitally between your home university and Ghent University—no printing or emailing required. 

Here’s the process in simple terms: 

  1. You create the Digital Learning Agreement through your home university. 
  2. You sign it → Home university signs → It is sent to Ghent University through Erasmus Without Paper. 
  3. Ghent University receives your Digital Learning Agreement and invites you by e-mail to finish your exchange application in OASIS. 
  4. Ghent University reviews and approves your Learning Agreement. 
  5. If changes are needed, you change your curriculum at Ghent University and initiate the learning agreement changes through your home university’s tool.

How to apply without Digital Learning Agreement (Studies outside the Erasmus framework, traineeship, research, summer schools,...)

When you start this application for studies, please make sure that your home university doesn't support Erasmus Without Paper (see above). Otherwise you will create a duplicate application in our system and will block your application process.

The exchange application consists of two steps:

  1. Create a Ghent University account and register via the Oasis website
  2. Select the correct academic year of your exchange and click on the link ‘Exchange’ under ‘Curriculum’.
  3. Complete the Oasis application: complete all details and upload the required documents.
  4. Submit the application.

Approval procedure

  • After submitting your complete exchange application the Faculty Officer responsible for Internationalisation (FCI) and the Ghent University promoter will check if your application is complete and if you are eligible to follow the courses on your learning agreement.
  • If the faculty approves your application, they will sign your Learning Agreement.
  • After the approval by your faculty you will receive an acceptance email with your signed learning agreement and your official invitation letter. The invitation letter is required for registration upon arrival and for your visa application (if applicable).

The approval procedure can take several weeks.

Enrolment

The start of enrolment is 3 August 2026 for the academic year 2026-27.

For study exchanges: students will be enrolled back-office in the month before arrival. No action needed from the student.

For other exchanges (internship, research,..): Send an e-mail to enrol@ugent.be with your passport (ID), date of arrival and ask for enrolment. Your student card will be ready for pick-up at the Student Centre.

Exchange PhD Students

There is a specific application procedure for Exchange PhD Students.

Exchange PhD Students are students who visit Ghent University to perform research in the context of their PhD, while being enrolled and defending their PhD at their home institution.
