To stimulate and ameliorate the coaching of the research mobility, the Faculty mobility and sabbatical fund was created, which resides with the Faculty commission for Scientific Research.

Frequently asked questions  

Q: I have not yet received the official approval for my abstract from the congress organizers; can I already apply with the FWO  (because I need to submit my application with the FWO 3 months beforehand) ?

A: You may already submit your application with the FWO, even if your abstract is not yet accepted with the congress organizers. The  states: “You attach the official proof of acceptance of your speech. If this official acceptance is not yet available 3 months before the beginning of the conference, you can provide FWO with the documents afterwards.”

 

Q: I have forgotten to submit my grant application for my research stay/congress participation with the FWO or another external funding organization. Can I still get a grant from the Faculty Mobility Fund ?

 

A: No. Applications that were eligible for external financing but that were not or too late submitted to the external funding organization, are not acceptable for the Faculty Mobility Fund.

Mind that for the FWO, you need to submit your application 3 months before your stay ! You may find a list of various possible external funding organizations here.

Q: Can I apply for a grant with the FWO for participation to an international conference if I have poster and no oral presentation ?

A: Yes, this is possible.

Q: Can I already submit my application with the Faculty Mobility fund even if I do not yet have the result of my application with the FWO/another external funding organization ?

A: Yes. There is no need to wait for the outcome of the FWO application or the other financing organization to submit the application to the Faculty Mobility Fund. However, the applicant needs to inform the coordinator of the Faculty Mobility Fund immediately once the result is known.

Q: Can I use the grant for a research stay for consumables or equipment that I use during my research ?

A: No. The mobility grant may only be used for the actual travel and accommodation/living costs.

Q: I am a PhD student and I would like to attend a conference abroad. I have submitted a grant application with the FWO and this was approved. However, the FWO only covers the travel costs. May I submit a grant application with the Faculty Mobility Fund for the accommodation/living and subscription costs ?

A: Yes, this is possible. This co-financing from the Faculty Mobility Fund can only be paid for the actual costs (based on invoices or expense accounts). 

 

Q: I am a PhD student and I would like to attend a conference abroad. I have received a grant from the conference organizing committee due to which I do not have to pay the subscription fee. May I submit a grant application with the Faculty Mobility Fund for the travel and accommodation/living costs ?

A: Yes, this is possible. This co-financing from the Faculty Mobility Fund can only be paid for the actual costs (based on invoices or expense accounts). 

Q: I am a PhD student and I would like to attend a course/workshop abroad. I have submitted a grant application with the FWO and this was approved. However, the FWO only covers the travel costs since the course/workshop last for less that 7 days. May I submit a grant application with the Faculty Mobility Fund for the accommodation/living and subscription costs ?

A: Yes, this is possible. This co-financing from the Faculty Mobility Fund can only be paid for the actual costs (based on invoices or expense accounts).

Q: I am a post-doc/ZAP and I am planning a short/long stay abroad. I have submitted a grant application with the FWO and this was approved. This means that the FWO covers my travel costs and a fixed daily allowance of 66 euros per day. However, my actual costs are higher than 66 euros per day.  May I submit a grant application with the Faculty Mobility Fund for these extra costs ?

A: Yes, this is possible with a maximum of 375 euros per week/1500 euros per month. This co-financing from the Faculty Mobility Fund can only be paid for the actual costs (based on invoices or expense accounts). Take into account that the Faculty mobility fund only covers travel and accommodation/living costs and not consumables or equipment that are used during the research.
