Practicalities for visiting staff

Your UGent supervisor will register your stay via a faculty form (they can contact their departmental secretariat) and needs to apply for a UGent visitor's pass, if your stay exceeds 5 days.
Are you staying longer than 5 days, then a visitor’s pass can be requested by your UGent supervisor. Please ask your UGent supervisor to apply.

From September 2026 onwards, Ghent University will no longer provide accommodation for staff members and visitors as per the board of governors' decision on 28 March 2025 to prioritize students. PhD-students are one of these target groups with priority. Read the news article.
