2. Mobility Grants

Depending on your situation, there are different possibilities for mobility grants.

  • Erasmus+ studies (inside Europe, only for diploma awarding partners in the consortium agreement*)
  • Bilateral agreements (only applicable for IMRD students going to an international partner: check IMRD website for Internatioanl partners)
    deadline for application = first week of March

*EU diploma awarding partner? Check the course catalogue: 'Programme jointly offered by...' (mentioned at the top)

3. Exchange Application

Application

  • Go to https://oasis.ugent.be
  • In the menu on the left, go to the academic year of your exchange:
    • Curriculum
    • Exchange
    • New application

Some important guidelines for your application:

  • Mobility type: select 'Courses'
  • Funding: select the applicable funding for your mobility
    • Erasmus+ studies
    • Scholarship Ghent University bilateral agreement
    • Own resources (if you don't receive any mobility grant)

After your registration in Oasis, send an e-mail to to get approval.

4. Application mobility grant (destinations outside Europe, including VLIR-UOS)

Students who are going to a European destination and receive an Erasmus+ mobility grant, don't need to submit an extra application for a mobility grant.

If you want to apply for a mobility grant outside Europe, you have to submit a portfolio.

Deadline = first week of March

(Provisional) Learning Agreement

You will need to add a (provisional) learning agreement to your portfolio. To get UGent signature, follow these steps:

  1. Fill in your (provisional) curriculum in exchange in Oasis. You will be able to change these courses afterwards.
  2. Print the learning agreement and sign it.
  3. Upload a scanned version of the learning agreement in Oasis as type 'Learning agreement'.
  4. The faculty education services will sign and stamp the document and send it back to you.

5. Exchange Curriculum

If you're going to a diploma awarding partner

  • If the courses you want to follow are mentioned in the UGent course catalogue of your master programme, you don't need to fill in an exchange curriculum.

If you're going to an associated partner (only applicable for IMRD students)

You can find the associated partners in the UGent course catalogue of your master programme as 'Affiliated Third Country Partner Institutes'

  • Fill in all the courses you want to follow at the associated partner in your exchange curriculum.
  • You don't have to fill in any courses that will be replaced at Ghent University.

6. Learning Agreement

If you're going to an EU diploma awarding partner

You can find the EU diploma awarding partners at the top of the course catalogue: 'Programme jointly offered by...'

  • If the courses you want to follow are mentioned in the UGent course catalogue of your master programme, you don't need to sign a learning agreement.

If you're going to an associated partner

You can find the associated partners in the course catalogue as 'Affiliated Third Country Partner Institutes'

After you got an e-mail that your exchange curriculum got approved:

  1. Download the learning agreement in Oasis and sign. If your programme coordinator already approved of your exchange curriculum online, there will be a signature from Ghent University on your learning agreement.
  2. If there is no signature from Ghent University on your learning agreement yet, get signature from your programme coordinator.
  3. Send a scanned version of the document to the receiving institution to get their signature.
  4. Upload the document in Oasis when it is signed by all 3 parties involved (student, Ghent University, guest university), as 'Learning agreement'.
Start this procedure in time, to make sure that the document is completely signed before your departure!

7. Confirmation of Stay

  1. Download this document in Oasis.
  2. Let the part arrival sign as soon as possible after your arrival.
  3. Let the part departure sign at the end of your stay.
  4. Upload in Oasis in your exchange application.

FAQ's

Am I insured during my stay abroad?

  • For your health insurance, you should contact your own health insurance fund.
  • Through your enrolment as a student at Ghent University, you are insured as regards your physical accidents during university activities.
  • Through your enrolment as a student at Ghent University, you are insured as regards your civil liability during university activities (does not include journey to and from university activities)

What if I already received an Erasmus+ studies mobility grant?

You can apply again for an Erasmus+ mobility grant if:

  • your previous grant was during Bachelor studies
  • your previous grant was during Master studies and the sum of the previous and new fundig period does not exceed 12 months.
