First enrolment for a predoctoral programme, the doctorate and the Doctoral Training Programme

  • All this information is also applicable to Joint PhD
  • Do not forget to re-enrol every year until your doctoral defense has taken place.

The Registrar's Office handles your enrolment as a (pre-) doctoral student.

There is no defined enrolment period for these programme (i.e. you don't have to enrol before the start of the academic year as opposed to the bachelor or master programmes)

Letter of admission

You will need to come to the Registrar's Office in person and submit the following documents:

  • Letter of Admission (official letter signed by the Registrar)
  • International passport or Belgian resident permit
  • If mentioned on your letter of admission:
    • legalised copy of the diploma on the basis of which you have been granted admission
    • proof of proficiency in English
    • Chinese students: an original APS certificate
    • Chinese CSC-scholarship students: tuition voucher
    • proof of scholarship

Approval by e-mail

You are a new student at Ghent University or you graduated from Ghent University more than 2 years ago?

You will need to come to the Registrar’s Office to complete your enrolment and must bring the following documents:

  • International passport or Belgian residence permit
  • Master diploma if you did not obtain it at Ghent University (even though you may have submitted it earlier during the application procedure)
  • Proof of proficiency in English (if applicable)

You just graduated from Ghent University?

You graduated less than 2 years ago from Ghent University, you do not need to come in person to complete your enrolment. Send the e-mail with the approval to doctoraat@ugent.be. When the enrolment has been completed, you will receive confirmation by e-mail. The invoice for the first enrolment will be sent to your UGent e-mail address.

Doctoral Training Programme

You will automatically be enrolled for the Doctoral Training Programme. In some faculties, this programme may even be mandatory. On successful completion you will receive a certificate (after the doctoral defence has taken place).
