Accommodation for (Exchange) PhD students

Application criteria

Your application is valid (and will be processed by the Housing Office) from the moment you have received a “Letter of Admission” or "Letter of Invitation" (for Exchange PhD students) from Ghent University. The Housing Office will not be able to meet requests from PhD candidates without Letter of Admission/ Invitation. We give priority to PhD candidates with a VLIR scholarship.

Academic year 2017-2018

  • Single studio: 515 EUR/month; deposit for room 125 EUR; deposit for key & badge 35 EUR.
  • Flat for couples home Fabiola: 701 EUR/month; deposit for flat: 300EUR; deposit for key & badge: 70 EUR
  • Flat for couples home Heymans: 599 EUR/month; deposit for flat: 300 EUR; deposit for key & badge: 70 EUR.
  • Flat for families: 836 EUR/month; deposit for flat: 300 EUR; deposit for key & badge: 70 EUR.

If you apply for a period of 2 weeks, only a half month’s rent will be charged.

Terms and conditions

When you apply for a living unit in the University Halls of Residence, you agree to these terms:

Rental period

  • The minimum rental period is 2 weeks (14 days), the maximum rental period is 6 months. The maximal rental period for flats is 3 months per couple/family (no extension possible).
  • It is only possible to rent
    • from the 1st or the 16th of the month,
    • until the 15th or until the last day of the month.
  • Check-in is not possible during weekends, except for weekends in February, July, August and September.

    Rental payment

    • The rent is due from the start of the reserved period.
    • The costs for the consumption of water, electricity and heating, provision of bed linen, cleaning of the common areas, repair service, use of telephone and internet are included in the monthly rent.
    • The monthly invoice will be sent to you by email. Payments have to be made by bank installments and does not need to be done before your arrival.

    Modifications and cancellations

    • In case of cancellation and/or no-show an administrative fee of € 100,00 will be charged (only applicable to students). This fee is due if you cancel your reservation after you have received confirmation for accommodation from the Housing Office. All cancellations must be done in writing.
    • In case you wish to change the period for which you have made a reservation, please inform us at least one month before the start of the confirmed period. After that time, requests for changing the period will no longer be accepted and the rent will be due for the confirmed period.
    • Once the tenancy agreement has been signed, it is not possible to terminate the agreement early. The rent is due for the duration of the agreement.

        • To apply: please send an e-mail to admission@UGent.be with subject 'housing application + your full name'. Please state your file number (you can find this in your letter of Admission) in the email, other than that you should not write anything. Students who already obtained a masters degree at a Flemish university do not have to follow this procedure, but can directly apply here
        • If you are already enrolled as a student at Ghent University, please apply via your Oasis account.

        Please note that if you are an exchange student in the framework of PhD studies at your home University, you must apply via the exchange application form
